Article 1 -- Name
The name of the organization shall be the "Mauston Band Boosters."
Article 2 -- Purpose
The purpose of the organization shall be to support the band program and the band
directors of the Mauston School by providing...
1. scholarships to band students interested in attending band workshops or pursuing a higher education in music.
2. financial and volunteer aid which improves or promotes the band program including trips that enrich the student's musical experience.
3. social and positive emotional support to band students that aids in their
development of life skills, such as decision-making (put the band first) and a sense
of responsibility.
Article 3 -- Non Profit Status
The organization is non-profit and any funds received by the organization for carrying out its purpose shall not acrue to the benefit of individual members.
Article 4 -- Members
Section 1. Membership
a. Any parents(s) of a student enrolled in the Olson Middle School, St. Patrick’s, or Mauston High School band are members of the organization.
b. Any other adult 18 years or older may become a member by contacting an officer of the organization or a band director with acceptance of the Executive Board
c. To be on the band booster board, you must have a student in the band program
d. There are no dues to become a member of the organization.
Section 2. Band Booster Board privileges
All members have the right to participate in the vote at all meetings of the entire organization and to be elected or appointed to office.
Section 3. Member responsibilities
It is expected that members support the organization and the band directors
by participating in activities in any way possible and encouraging student
participation in booster and band activities.
Section 4. Band Directors
The band directors will be ex officio members of the Executive Committee and serve as advisors to the organization and officers.
Article 5 -- Executive Board
Section 1. Officers
Each spring, the Board shall determine the number of vacancies available created by
outgoing members, and announce the vacancies before the spring concert. Voting for Board
members will be by Band Booster membership and shall be by paper ballot, handed out, collected, and tallied at the last spring concert. After the board members are selected, the positions listed below will be voted into position at the first meeting of the new board:
Executive Board Officers are -
President who is responsible for the overall leadership of the organization.
Vice President who is responsible for carrying out the duties of the president in
his/her absence.
Secretary who is responsible for the official records and correspondences of the
organization.
High School Treasurer who is responsible for the finances and records of the
organization.
Middle School Treasurer who is responsible for the finances and records of the
organization.
Board Member Positions are -
Middle School Representatives, High School Representatives, and St. Patrick's
Representative who are each responsible for coordinating booster activities in their
building and bringing the needs of their band program to the attention of this
committee.
Uniform Management Representatives who will be responsible for assigning
complete uniforms (numbered) and direct the hanging and storage of each complete uniform after each event at which the uniform is required. The Band Booster Board, after consulting Administration, will establish replacement cost/fees for lost
or damaged equipment.
Board members are eligible to run for Executive Board positions only after having served at least one term (2 years) in a Board member
position role. This provision may be waived only if there is no person
meeting this requirement available or no person wanting an Executive Board
Member position
Section 2. Term
The term of office shall be two years unless to fill a vacancy of a Executive Board officer.
If an officer is no longer available to fulfill their term, the President shall
appoint a replacement to serve until the next election.
Two officers holding offices at the same level (example: Two Board positions) may
exchange duties and complete their terms. The Executive Board reserves the right
to override this exchange with a 2/3rds majority vote.
Section 3. Meetings
Regular meetings shall be held every month during the school calendar year. Special
meetings may be called by the president.
A Quorum shall be a majority of the officers.
Robert's Rules of order shall be used to conduct meetings.
Special meetings of the entire membership shall be called upon petition of 15 non-
officer members of the organization.
Article 6 -- Fiscal Matters
Section 1. Fiscal Year
The fiscal year shall be the June meeting to June Meeting. Financial records shall be
reviewed, audited and approved annually by the executive committee and with the
appointment of a new treasurer.
Section 2. Disbursement of Funds
In the event the organization disbands, all unspent funds shall be donated to any organization supporting the band program first, and if no such organization
exists, the money shall be donated to the school district to be used specifically for
the district’s band program.
Article 7 -- Indemnification
Each officer or agent of the Mauston Band Boosters, now or hereafter serving as
such, shall be indemnified against any and all claims and liabilities including reasonable settlements to which he or she has or shall become subject by reason of any action alleged to which he or she has or shall become subject by reason of any action alleged to have been taken, omitted, or neglected by him/her as such officer or agent; and the organization shall reimburse each person for all legal expenses reasonably incurred by him/her in connection with any such claim or liability, provided however, that no such person shall be indemnified against, or be reimbursed for any expenses incurred in the connection with, any claim or liability arising out of his/her own willful misconduct or gross negligence.
Any questions as to the above rights and responsibilities shall be finally resolved by
officers but a party to the claim, or an opinion by independent counsel.
Article 8 -- Amendments
Amendments must be approved by the Executive Committee and presented to the membership at the Annual Meeting of the organization. A two-thirds majority vote of the executive committee shall be required to adopt the amendment.

Standing Rules
Fundraising
1. Incentives for a fundraising project will be a percentage or the profit of the sales made by the student and kept in the Band Booster treasury. The percentage will be determined for each fundraiser.
2. The credit of fundraising projects which are solely for individual band student’s use will be
kept in the Band Booster’s treasury and will be used only by that student for music events at the discretion of the Executive Board. Fundraising projects outside of the Band Booster organization using the band’s name/reputation can be used at the discretion of the Executive Board.
3. Each student will earn credits/percentage of credits from the fundraisers. The credits will
be maintained by the treasurer and will be used by the student for major band trips, band activities, or items to benefit the student’s musical education at the board’s discretion. The student can only use the credits during years they are in band. The student must submit in writing or personal appearance a request to the Executive Board for the use of their individual credits other than the major trips and daily band supplies. Any interest earned on the student’s credits will remain in the band booster’s treasury. Unused credits of the student’s will revert to the band booster treasury at the end of the year in the student’s graduating class. In writing or personal appearance, the student can request the unused credits be transferred into an immediate family’s name.
4. One credit will equal one dollar.
5. Each fundraiser event must be approved by the Executive Board soon as possible prior to the onset of the event.
6. Olson Middle School credits shall be separate but not individual credits. Every other year, a fundraiser may be added to the eighth graders. This fundraiser will start the following year’s freshmen class into their own individual credits to be used like the high school students.
7. No adults are allowed to fundraise for themselves or their child’s credit accounts using the
band’s name without permission of the Executive Board.
Finances
1. The Executive Committee will prepare an annual agenda prior to the August meeting to guide the fundraising and expenditures of the organization.
2. The Mauston Band Boosters, Inc. will pay only expenses that have been authorized by the band booster board at a regularly scheduled meeting prior to the expense. Individual budget items receive authorization at the time the budget is approved. The president will have authority to authorize expenses.
3. All expenses should be charged whenever possible rather than paid by the members or teachers. It is preferred to have all bills submitted to the treasurer prior to the next meeting.
4. Any debt of a student going into high school shall be carried over and the high school treasurer shall continue the process of debt collection. The students have the choice of paying the debt in full or they can choose to work hard on the fundraisers and use those credits as payment to the Band Boosters. They will not be allowed to use their credits toward trips or daily supplies until the debt has been erased.
Mauston Band Booster Scholarship for Seniors
A one year scholarship in the amount of $500.00 or $250.00 will be awarded to a Mauston High School graduating Senior who meets the following requirements:
1. To receive $500.00 scholarship, a student must enter a college or university as an Instrumental Music Major.
2. To receive $250.00 scholarship, a student must enter a college or university as an Instrumental Music Minor.
3. The student must have been a member of the Mauston High School Band for at least two years during his/her school career.
4. The student must have been accepted at a college or conservatory.
5. A scholarship may be applied for only once as a graduating senior of Mauston High School.
Half of this scholarship will be paid at the beginning of the fall term after the recipient sends a statement from the college where he/she is enrolled signed by a official. The balance of the scholarship will be paid at the beginning of the second semester.
Applications for this scholarship can be made by submitting a written resume to the Mauston Band Boosters board of directors. The scholarship selection will be determined by the Executive Board of the Band Boosters and the Band Director from the school district.
The following should be included in the submitted resume:
1. Name of the college or university attending.
2. Proof of a cumulative grade point of at least 3.0
3. A list of music related accomplishments, involvements, etc. while enrolled at Mauston High School
4. Any other outside music interest or achievements.
High School Band, Jazz, & Flag Camp Scholarships
Mauston High School students (entering 9th-12th grades) and Olson Middle School students (entering 7th-8th grades) are eligible.
The band director will do the initial screening of the students for the band camps.
The Band Boosters will provide money for scholarships to these camps. The amount of money designated may be adjusted based on the financial status of the Band Boosters at the time of the request. Requests should be made in writing. The funds will be dispersed evenly among the approved attendees, with no individual receiving more then 1/2 of the tuition cost.
Chaperone Policy
The number of chaperones that will be needed for each major trip taken during the school year will be determined by the number of students going and by the Band Director. The chaperones will include:
1. The current members on the Band Boosters Board. No children will be allowed on trips unless there are vacant positions that need to be filled and will be at the Director’s discretion.
2. The next to be considered will be the Administrative Office. Two spots will be open for any of the administrative personnel that wish to go along. A Nurse will also be asked to accompany the group.
3. The Band Director has the authority to appoint assistants to help with the trailers and other equipment.
4. Finally, parents from each grade in the High School who have helped with Band Booster activities throughout the school year will be chosen according to a point system developed by the Band Booster Board. The Band Director will have final "say" on the chaperone list. As of the 2003-2004 school year, chaperone candidates will not need to request that their names be put on a "waiting list."
5. All chaperones must have their trip paid in full before the trip commences.
Major Band Trip Standing Rules
1. All students must have their trip paid in full before the trip commences unless other arrangements have been passed by the Executive Board.
2. If a student drops out after agreeing to go on the trip at the last minute, the student must find someone to replace them in order to get some of their payment back otherwise the trip is non-refundable. Only band students, band parents, or foreign exchange students are allowed on the trip.
3. Foreign exchange students will be allowed to go along on the band trips only if there is space available and permission by their host families, trip paid in full, and the sponsoring faculty member’s agreement that these students warrant this privilege.
Band Booster Job Descriptions
Mauston High School Parent Representative
Olson Middle School Parent Representative
Job Description: Call for volunteers to help with the different events the Band Boosters organize and to help coordinate the different events. Workers/Helpers are usually needed for the following events: Holiday Spaghetti Dinner/Concert, uniform distribution for parades and field shows, and get a list of parade chaperones to the directors.
High School Uniform Representative
Job Description: Fit students for uniforms, organize distribution and return of uniforms before and after events, and make sure uniforms and clean and repaired.
-One uniform representative is needed at every summer band rehearsal to fit
uniforms.
-Jazz uniforms need to be cleaned and ironed.
-Marching uniforms need to be repaired and fitted at the beginning of the marching season.
-Form a committee to help with all aspects of distributing, cleaning, and repairing uniforms.
Olson Middle School Uniform Representative
Job Description: Fit students for uniforms during summer rehearsals, supervise and organize uniform distribution and return, and make sure uniforms are clean and repaired.
-Form a committee to help with distribution, cleaning, and fitting of uniforms.
Publicity Chairperson
Job Description: Organize publicity for event that is planned by Band Boosters, get items to radio, cable stations, and newspaper, and make fliers if needed.
Chaperones
- Chaperones are in charge of the bus (ex. Noise level, keeping the bus clean, general behavior).
- Work with the students, do not yell at them and do not give orders. They are young adults and deserve to be treated with respect. Make suggestions and know the band guidelines.
- Let students know that unacceptable behavior, such as swearing, fighting, and lewd behavior, will not be tolerated. If behavior continues, report to Mr. Spindler or Mr. Emerson.
- Adults are to act and dress appropriately in jeans, band t-shirt, shoes and white socks. When marching with the band, stay in step and formation. Adults may go out of formation if distributing water to the students. Make sure chaperones know which section of the band they are distributing water to (ex. Percussion, flag squad, etc.).
- All students are to return to the school on the bus, no exceptions. Have each student sign his/her name when getting on the bus in Mauston and again before returning home.
- Make sure uniforms are on properly at parades.
- If a chaperone cannot make a parade, the parade representative needs to be notified.
- Check that no students are chewing gum.
- Any questions, ask the Band Directors.
Warrens Cranfest Parade
- Only chaperones/uniform volunteers that have experience with distribution of uniforms will handle the uniforms. New volunteers will be on the trailer putting uniforms away. There is not a lot of time for uniform distribution at Warrens and the uniforms need to be on the students perfectly and efficiently.
Out of Town Performance Bus Policy
Students are required to ride the bus to and from performances, no exceptions.
Band Boosters Organization
The Band Boosters are a parent organization that supports the Olson Middle School and High School bands in their activities throughout the year. The Band Booster organization consists of all parents whose children are enrolled in the band. In addition to supervising and working at the band events, the Boosters provide music scholarships to graduating seniors and students attending summer band camps. Many volunteers are needed to help the various band concerts, parades, field shows, and trips run smoothly.
If you are able and interested in helping, please check the appropriate areas and return to the band room.
____Help provide snacks during summer practices for the next summer season.
____Provide food for Annual “Special Event” Concerts. For example, provide food for visiting musicians such as the Glenn Miller Orchestra.
____Uniform check in and out – usually during the fall.
____Uniform committee – help with fitting, cleaning, and distributing uniforms.

Mauston High School Band
Code of Conduct
The following code of conduct has been adopted by the Mauston Band parents. This code applies to all trips and activities that the Mauston Band, Flag Squad, or other students participate in.
Article I
Without exception, students are to conduct themselves at all times in such a manner that reflects pride and high esteem for the band, Mauston High School, the community, and themselves.
Article II
Each student will show respect for fellow students, chaperons, tour guides, bus drivers, service personnel, and the directors. Behavior such as profanity and displays of affection are out of order.
Article III
Students are to be dressed at all times in such a manner as to meet the approval of adult chaperones and directors.
Article IV
Each student is expected to participate in all planned phases of the trip, unless excused by the band director or trip nurse.
Article V
Smoking and use of drugs will not be permitted at any time.
Article VI
The buddy system is to be in effect when away from the large group or hotel. When traveling as a large group, adults are to lead and follow.
Article VII
At no time are boys to be in girls' rooms or girls to be in boys' rooms.
Article VIII
Students are to be in their room at curfew time and will not exit their room without permission of the chaperone or band director.
Article IX
Students are not to invite visitors to become a part of the travel party.
Article X
Students with radios and CD players must use headphones.
Article XI
Pre-arranged visits to or from relatives or friends will be permitted only if a permission slip has been given to the band director prior to the trip departure.
Article XII
The rule of "adult" common sense prevails in any non-listed conduct situation.
Violation of any of the above articles will constitute a breach of contract. This is reason for the student to be sent home at parental expense. Determination will be made by the band director in consultation with adults, parents of the student, and an administrative designee.
